1. POLICY OVERVIEW

At Shawn Studioss, we dedicate significant time, resources, and manpower to every event we book. Once a date is secured, we turn away other potential clients and begin logistical planning immediately. Therefore, our Refund & Cancellation Policy is strictly enforced to ensure the sustainability of our high-quality services.

By paying a Booking Fee, you (“The Client”) acknowledge and agree to the following terms.

2. BOOKING FEES & DEPOSITS

  • Non-Refundable: All Booking Fees (Deposits) paid to secure a date are strictly non-refundable under any circumstances, except as explicitly stated in the “Double Booking” clause below.

  • Purpose of Fee: This fee covers administrative costs, reservation of the date, and the opportunity cost of rejecting other bookings for that specific day.

3. CANCELLATION BY THE CLIENT

If you choose to cancel your event or our services for any reason:

  • Booking Fee: Forfeited in full.

  • Within 30 Days: If cancellation occurs within 30 days of the event date, The Client is liable to pay 100% of the total package value. This is to cover costs already incurred for perishables (catering), crew allocation, and lost business.

4. POSTPONEMENT & DATE CHANGES

We understand that dates may need to change. We try to accommodate postponements under the following conditions:

  • Availability Check: Transfer of the Booking Fee to a new date is subject strictly to our team’s availability.

  • Price Adjustments: If the new date falls in a subsequent year or a peak season, current market rates will apply, and the package price may increase.

  • Unavailability: If we are already fully booked for your new requested date, the Booking Fee remains non-refundable.

5. PARTIAL SERVICE CHANGES (Downsizing)

  • Reduction of Scope: If you decide to remove specific services from your package (e.g., cancelling the pre-wedding shoot or reducing catering numbers) after booking, no refunds or deductions will be made for the removed items if the request is made close to the event.

  • Add-Ons: Additional services added later will be charged at standard rates.

6. FORCE MAJEURE (Uncontrollable Events)

No refunds will be issued for events affected by circumstances beyond the control of Shawn Studioss. This includes:

  • Pandemics / Disease Outbreaks (including COVID-19 related restrictions).

  • Government Lockdowns or Travel Bans.

  • Extreme Weather (Floods, Storms).

  • Natural Disasters.

  • Venue Cancellations. Note: In such cases, we will strive to work with you to postpone the event, but monetary refunds are not provided.

7. QUALITY & DELIVERABLES (Artistic License)

Refunds requests regarding the final output of Photography and Videography will not be entertained based on:

  • Artistic Preference: Disliking the editing style, color grading, or composition (Client is assumed to have reviewed our portfolio prior to booking).

  • Subjective Selection: Requests for specific shots that were not captured or were edited out.

  • Delivery Time: Delays in delivery unless they are unreasonable (beyond 6 months without communication).

8. EVENT DAY CONDITIONS

We are not liable for providing refunds or compensation for issues caused by factors on the actual event day, such as:

  • delays caused by the bride/groom, makeup artists, or VIP guests.

  • Guest Interference (e.g., guests blocking our cameras with their phones).

  • Venue Restrictions (e.g., lighting limitations imposed by the venue).

  • Sudden Schedule Changes that result in missed moments.

9. DOUBLE BOOKING CLAUSE

In the extremely rare event of an administrative error resulting in a double booking:

  • The booking will be honored for the client who paid the Booking Fee first.

  • The second client (who cannot be accommodated) will receive a full refund of all monies paid.

10. FINAL DISCRETION

All decisions regarding refunds, cancellations, and waivers are at the sole discretion of Shawn Studioss Management. We reserve the right to review cases individually, but strict adherence to this written policy is our standard operating procedure.
